The Role:

The Executive Assistant completes a variety of administrative duties to support the execution of office services for the entire office and will schedule and manage the itinerary of the Chief Executive Officer. Reporting to the HR Manager, the Executive Assistant will support the day-to-date office support activities and will have a high level of flexibility and openness with a can-do attitude. 


  • Manages the CEO’s calendar, daily agenda, schedules meetings, appointments and completes daily administrative tasks to ensure the day is running smoothly and efficiently.
  • Supports the execution of preparing contracts, documents, and meeting minutes.  
  • Greet and assist customers, visitors, and deliveries as required.
  • Receive and distribute incoming packages such as mail, faxes, and courier packages to appropriate parties.
  • Assist in preparation of documents and correspondence using MS Office Suite, DocuSign, and google docs.
  • Work with external vendors and contractors such as IT, cleaners, and building management.
  • Order office supplies and maintains inventory.
  • Responsible for ordering catering and food for weekly orders, meetings, and events.
  • Help organize and maintain common areas such as meeting rooms and kitchen. 
  • Assist other support teams such as accounting, human resources, and marketing as required.

Qualifications & Experience:

  • Excellent verbal and written communication skills.
  • Intermediate Microsoft Office Suite and Google Docs experience.
  • 2+ years of experience working in a fast-paced office environment with adaptability and flexibility.
  • Grade 12 or equivalent. An associate's degree or equivalent considered an asset.
  • Proactive with the ability to work in a team environment and complete tasks with minimal supervision.
  • Ability to exercise sound and independent judgment with diplomacy and confidentiality.
  • Ability to manage workflow priorities and multi-task with strong organizational skills.
